Press the + New enquiry button in the top right of ArbHQ and fill out the customer name, site and basic job details when you receive a new enquiry.
If a quote is needed, choose whether to arrange the quote visit now, arrange it later or mark it as not required.
On Quotes, click the quote you want to open. Prepare it, download the clean PDF and send it using your normal email method, then record it as sent and set a follow-up if needed. Once the quote has been accepted, use Book job to choose the work dates.
Use Jobs for work that is being set up, ready to book or already booked. If a job is ready to book, choose Book job. For booked work you can open the Job Sheet, reschedule it or mark it complete.
Once a job is marked complete, go to Invoices or Overview. On Invoices, you’ll find it under Jobs ready to invoice; on Overview, under Jobs ready to invoice.
Review the prepared invoice, download the clean PDF and send it using your normal email method. Then record it as sent so it moves to Awaiting payment. Overdue invoices move to Overdue on Invoices and appear under Payments to chase on Overview. Mark an invoice paid when payment is received.
Use Records when you want to look back at a job or find its full history.
Go to Records and click the job you want to view.
Use Calendar to see scheduled and completed jobs, quote visits and reminders by date. You can also book jobs and quote visits from here.
Set reminders here to help keep track of things within your business.
Use Settings for your business details, invoice details and payment details.
Enable Xero mode and enter the correct Sales Account Code. On a prepared invoice, choose Export to Xero when you want Xero to handle sending and payment tracking. ArbHQ will download a CSV file ready to import into Xero.
SalesInvoicesImport
Choose the ArbHQ CSV, select Tax Exclusive, complete the import and review the draft invoice in Xero. You can then apply your usual Xero template if needed.
Once an invoice is exported to Xero, ArbHQ marks it as Exported to Xero and no longer handles sending or payment tracking for that invoice.
Coming soon. We’re in the process of building Auto Admin to make handling admin easier than ever before 😎
Use Job locator in the top right of this Help page. Search the job number/reference, customer or address.
On Quotes, click the quote you want to book, then go to Book job. If booking is locked, ArbHQ shows what needs finishing before you can choose the dates.
Once the job is marked complete, go to Invoices or Overview. You’ll find it under Jobs ready to invoice on Invoices, or Jobs ready to invoice on Overview.
Go to Invoices or Overview. Overdue invoices appear under Overdue on Invoices, or Payments to chase on Overview.
Use Job locator, or search Records or Overview.
Open Settings on this Help page and look for Xero mode (optional). This explains how exporting invoices to Xero works.
